From Spreadsheets to a Purpose-Built Client Platform for a Personal Trainer

Client data lived in Excel files with no structure for tracking progress over time. Manual data entry consumed hours every month that could have been spent coaching — exactly the kind of repetitive work that slows a small team down. There was no easy way to generate training plans from historical data, share materials with clients, or get a data-driven picture of each client's trajectory. The trainer knew AI could help but wasn't sure where to start.

We assessed the trainer's data, tools, and workflows to identify where automation and AI would have the most impact. Then we built a lightweight serverless application on AWS, purpose-built for the trainer's workflow and designed to stay cost-efficient as the client base grows. The platform automates client intake and progress tracking, provides analytics dashboards for monitoring trends and outcomes, and delivers a clean interface for generating and sharing program materials. The architecture includes a proof-of-concept foundation for AI-generated training plans and a future client self-service portal — validated against real use cases before investing further.
